Booking and Cancellation Terms and Conditions

CANCELLATION POLICY Effective Aug. 23, 2024 –

We hope you’re excited to plan your bike vacation! Our small-group outdoor experiences are so much fun! And our booking conditions allow us to guarantee tours early in the process … giving you confidence that your tour will go forward.

Reservations: To reserve your tour, or for additional information, call 1-800-257-2226, visit the website page for the tour, or email us at info@discoverybicycletours.com. Reservations will be confirmed upon our receipt of your deposit, and are subject to availability. After we receive your deposit, you will receive an email confirmation and all your Tour Details including: tour cancellation insurance suggestions, arrival and departure info, transportation options, and recommended clothing and equipment. Following are our Booking Conditions:

Minimum Numbers: Please do not make any non-refundable payments for flights etc. before we have confirmed that there is a sufficient number of guests and will run the tour. Final determination will be made at the final payment date. Sometimes there are too few tour participants for us to feasibly run a tour. In that event, you will get a 100% refund of your tour payments. As a courtesy to our guests, we may occasionally run a tour with as few as six participants.

Trip Insurance: Please purchase trip cancellation insurance since we are unable to make any exceptions to our cancellation policy — even for personal emergencies. Comprehensive travel insurance is strongly recommended. Look for a policy that covers the cost of your tour and other travel expenses in case you cancel. You should also ensure you are covered for other issues including flight cancellations or delays, loss of luggage and personal effects, and medical events.

Deposits & Final Payments: Tour deposits are due at the time you make your reservation and are $750 per person (for tours 6 days or longer) or $500 per person (for tours 5 days or shorter). All deposits are applied to the full tour price. Final payments are due 90 days prior to the start of domestic tours, and 120 days prior to the start of international tours.

Cancellations: Our cancellation policy is designed to provide flexibility and confidence. Your deposit is not refundable but can be transferred to any available future tour outside the timeframes detailed below. As a small, family-run tour business, we appreciate your support of our company and our partners. Remember that our tours require minimum numbers in order to run them. Please check with us before purchasing non-refundable travel, and please note the following: 1) At the time of deposit: After making a deposit, you can cancel up to 91 days before the tour departure date for domestic tours, or up to 121 days for international tours without any penalty; your deposit will be held as a “lifetime deposit” credit for you to use for any future available booking. 2) At the time of final payment: Within 90 days of departure for domestic tours and within 120 days for international tours, all payments are no longer refundable or transferable.

If conditions prevent a tour from running as planned due to circumstances beyond Discovery’s control, Discovery may cancel or postpone the tour. In the event this occurs, Discovery will endeavor to provide as much notice as practicable under the circumstances. We will work with our partners and make every effort to recover expenses and credit or refund a portion to you, but we cannot guarantee any refunds. We reserve the right to change our policy in the face of force majeure or conditions beyond Discovery’s control that impact the ability to run any tour. All credits and refunds resulting from any change of tour or departure for any reason will be less any non-refundable expenses incurred by us. If your booking is changed or transferred, the Booking Conditions in effect on the date your new booking is made will apply. We are not liable for any additional expenses you may incur because your booking is canceled or changed, including any travel expenses.

Visas & Entry Requirements: It is your responsibility to obtain any visas and/or entry requirements necessary to travel to, or within, the destination in which your tour operates. We are not liable for any disruption to tours or any associated costs incurred because of you failing to obtain the necessary visas and/or entry requirements.

Changing Your Choice & Using “Lifetime Deposit” Credits: You may change your reservation without charge (subject to availability) anytime up to 91 days for domestic tours (or 121 days for international tours) before the tour departure date. Credits may be used towards the balance of any new tour. Or, your credit may be transferred to any one person nominated by you to be used towards the balance of a new tour booked by them.

Single Travelers: A limited number of guaranteed private rooms are available on most tours at an additional cost. This cost is indicated on each tour page.

Travelers Sharing a Two-bedded Room: In the case where no more two-bedded rooms are available at certain inns, an additional charge may apply, since guests may be staying in separate rooms for part of the tour.

Children: Children are very welcome if they are at least 10 years old, are physically capable of participating, and are accompanied by a parent or legal guardian at all times, including sharing lodging in your room at night.

Travel Adjustments: Itineraries are subject to change. We make every effort to deliver the trip as described, but weather, closings, reduced staff, emergencies or other circumstances sometimes require us to adjust the itinerary, lodging, meals, activities or other aspects of the tour. Refunds are not available to cover these changes. In some cases, we can, at our discretion, substitute other items to make the trip a success. Thank you for your understanding.

Washington State residents: please note our registration number is 604-734-399. And the following:

If transportation or other services are canceled by the seller of travel, all sums paid to the seller of travel for services not performed in accordance with the contract between the seller of travel and the purchaser will be refunded within thirty days of receiving the funds from the vendor with whom the services were arranged, or if the funds were not sent to the vendor, the funds shall be returned within fourteen days after cancellation by the seller of travel to the purchaser unless the purchaser requests the seller of travel apply the money to another travel product and/or date.

Private/Group Tour Booking and Cancellation Terms and Conditions

Deposits: Private/Group Tour deposits are $1,000 per person, non-refundable and due at the time you make your reservation. They must be paid for the minimum number of guests required to book a Private/Group Tour (varies per destination, please ask us for details).

Final Payments: Final payments are due 180 days prior to the start of your Private/Group Tour.

Private/Group Tour Discounts: Once 10 guests are booked on a Private/Group Tour, a discount of 10% applies for all guests.

Minimum Numbers: The minimum number of guests required to book a Private/Group Tour varies per destination. Please ask us for details. If minimum numbers are not reached by Final Payment date, your booking will be cancelled. All deposits paid are non-refundable.

Waiver: All travelers must individually agree to the Participation Agreement (Waiver) which you will receive ahead of your Private Tour departure.
